What criteria can I use to create Segments in my mailing list?

Moosend’s powerful list segmentation lets you drill deep down on the details and focus your campaign on the audience that creates the most impact. After all, segmentation is there to improve the efficiency of your email marketing campaigns, right? 

To achieve improved campaign efficiency you need a vast list of options when setting your list segment's conditions! This way each segment you make can become a perfect representation of your email marketing strategy.

Target your audience based on information you've gathered about them in the form of custom fields (age, gender, size, interests) and then combine them with what Moosend tells you on how your mailing list members react to your newsletters (opens, clicks, etc). Filter your mailing list accordingly and send targeted campaigns the make a difference!


Here is a list of all the segmentation criteria Moosend offers:

  • Recipient Email: Let’s assume you need to find all the email addresses from your group of recipients that contain a particular keyword. Just choose the condition Recipient Email from the first drop-down menu, in the second drop-down menu choose whether this email is / is not / contains / does not contain / starts with / does not start with / ends with / does not end with, and on the final field write down the email address characteristic that you're looking for. 

  • Recipient Name: Fetching the people in your list with a particular name for a special name-day offering is as simple as choosing the condition Recipient Name from the first drop-down menu, then choosing whether this name is / is not / contains / does not contain / starts with / does not start with / ends with / does not end with / is empty / is not empty in the second drop-down menu, and on then in the final field typing in the name that you're aiming for.
  • Date Added: Use this to fetch subscribers according to the date they were added to your mailing list.  Select the condition Date Added from the first drop-down menu.The second drop-down menu allows you to choose whether this date is / is not / is before / is after a specific date, or is between two dates, that you choose from the calendar available on the last field. Alternatively, you can use the third drop-down menu to specify that subscribers need to have been added during a particular Year/ Month /Day /Week Day, or within X Days past/ Hours Past / Minutes Past, typing in the condition in the appropriate field. 

  • Date Updated: Used in order to filter your contacts based on when their information was last updated. Select the condition Date Updated from the first drop-down men. The second drop-down menu lets you choose whether the date is / is not / is before / is after / is between / is not between one (or two!) specific date(s) you choose from the calendar available as the third field. You can also use the third drop-down menu to require that the information needs to have been updated during a specific Year/ Month/ Day/ Week Day, which you will type into the appropriate field, or within X Minutes Past/ Hours Past/ Days Past which, again, you type in the appropriate field.

  • Other Mailing List: Used in order to filter your contacts based on whether they belong to a different list or not. Select the condition Other Mailing List from the first drop-down menu. The second drop-down menu lets you choose whether the mailing list is / is not one of the available mailing lists on the third drop-down menu.

  • Verified for Double Opt-in: Used in order to filter your contacts based on whether they are verified for Double Opt-in or not. Select the condition Verified for Double Opt-in from the first drop-down menu. The second drop-down menu lets you choose whether this is true / is false

  • Subscription Method: One interesting tool is to filter recipients according to the way they were added to your mailing lists. Choose the condition Subscription Method from the first drop-down menu, in the second drop-down menu select and whether it is is not one of the following options:Subscription FormFile Import or Manually Added as they appear on the final drop-down menu. You can further specify when recipients were added using the specific subscription method selected, either by using the clock icon to specify that it was in the last X minutes/ hours/ days, or by selecting dates betweenand Y by using the calendar icon.

  • Opened Any Campaign: Used to filter your contacts based on whether they have opened any campaign or not. Select the condition Opened Any Campaign from the first drop-down menu. The second drop-down menu lets you choose whether it is true / is false that recipients have opened a campaign. You can also define a time span by clicking on the clock icon and choosing whether a campaign must have been opened, or not opened, in the last X minutes / hours / days, or between two dates that you specify, using the calendar icon. Keep in mind that this condition will checked for openers of your campaigns that have been sent to ANY list on your account, not just this specific list. 

  • Opened Any Campaign Titled: Similarly to the previous option, this option can be used to filter your contacts according to if they have opened any campaign, based on its title. Select the condition Opened Any Campaign Titled from the first drop-down menu. The second drop-down menu lets you choose whether the campaign title is / is not / contains / does not contain / starts with / does not start with / ends with / does not end with whatever you type on the third area. You can also define a time span by using the clock icon to specify that the campaign must have been opened in the last X minutes / hours / days, or using the calendar icon to specify that it must have been opened between two dates that you select.

  • Opened Campaign Name (deprecated): Used to filter your contacts based on the names of the campaigns they have opened. When you need to find list members whose action took place on a specific campaign, you can do this by defining the campaign's name. Choose the condition Opened Campaign Name (deprecated) from the first drop-down menu, then choose whether the campaign name is / is not / contains / does not contain / starts with / does not start with / ends with / does not end with. For the options is and is not you will then have to choose the name out of a list of campaigns. For all other options you must fill in the information of your choice. You can find out when exactly your list members took action on this specific campaign by using the clock icon to specify that it was in the last X minutes/hours/days (select on option from the drop-down list and then type in the number in the appropriate field); alternatively, use the calendar icon to specify that it was between X date and Y date.

  • Specific Campaign Sent: Let’s say you need to track those recipients that have received a certain campaign you've sent. This could be a nice method when you want to send a follow-up newsletter! Choose the condition Specific Campaign Sent from the first drop-down menu, then, in the second drop-down menu, choose whether this campaign either is / is not one of the campaigns available on the final drop-down menu. The most recent campaigns will be at the top of the list. You can set a time frame for when recipients received a specific campaign by using the clock or calendar icons and choosing whether the campaign must have been opened in the last X minutes / hours / days, or whether it must have been opened between two dates that you specify, respectively.

  • Specific Campaign Opened: This option can be used to filter your contacts based on whether they have opened a specific campaign, based on the campaign's ID. Select the condition Specific Campaign Opened from the first drop-down menu. The second drop-down menu lets you choose whether the name of this specific campaign is / is not whichever of the campaigns that you have sent out, which you then select from the third drop-down menu. You can also define a time span by using the clock icon to specify that the campaign must have been opened in the last X amount of minutes / hours / days, or using the calendar icon to specify that it must have been opened between two dates that you select.

  • Specific Sent Campaign Not Opened: This option can be used to filter your contacts based on whether they have not opened a specific campaign, based on the campaign's ID. Select the condition Specific Sent Campaign Not Opened from the first drop-down menu. The second drop-down menu lets you choose whether the name of this specific campaign is / is not whichever of the campaigns that you have sent out, which you then select from the third drop-down menu.

  • Specific Campaign Clicked: This option can be used to filter your contacts based on whether they have clicked on a specific campaign, based on the campaign's ID. Select the condition Specific Campaign Clicked from the first drop-down menu. The second drop-down menu lets you choose whether the name of this specific campaign is / is not whichever of the campaigns that you have sent out. You can also define a time span by clicking on the clock icon to specify that the campaign must have been clicked on in the last X amount of minutes / hours / days, or clicking on the calendar icon to specify that it must have been opened between X and Y date.
  • Number of Campaigns Opened: Say you're looking for users from your list that have opened your newsletter any number of times or who have never opened any campaign during a specific period of time. This could be a good reason to send a special offering, or clean up your list from unwanted recipients! Choose the condition Number of Campaigns Opened from the first drop-down menu, then in the second drop-down menu choose whether this number of campaigns opened is / is not / is more than / is at least / is less than / is at most /is between /is not between, then write the number(s) on the third field available. Clicking on the clock icon produces a drop-down field which allows you to specify the number of campaigns opened in the last X minutes/hours/days. Additionally, you can search for number of campaigns opened on a specific date or within a specific time period, by clicking on the calendar icon and selecting the relevant dates, i.e. between X date and Y date.
  • Number of Campaigns Clicked: If you search for list members who have clicked on your newsletter links any specific number of times, or list members who have never clicked on any link during a specific period of time (could be a nice opportunity to send them a special offering or remove them from your list), choose Number of Campaigns Clicked, then choose whether the number of the campaigns opened is / is not / is more than / is at least / is less than / is at most /is between/is not between, then write the number(s) in the third field available. Clicking on the clock icon produces a drop-down field which allows you to search for the number of campaigns clicked upon within the last X minutes/hours/days. Further, you can use the calendar icon to search for the number of campaigns clicked upon on a specific date or within a specific time period, by selecting the relevant dates from said calendar, i.e. between X date and Y date.

  • Specific Link URL Clicked: Used in order to filter your contacts based on the links they have clicked on. Select the condition Specific Link URL Clicked from the first drop-down menuThe second drop-down menu lets you choose whether the URL link  is / is not whichever of the links you choose from the third drop-down list. If you like, you can specify when exactly your list members clicked on this specific URL, by clicking on the clock icon and indicating that your are searching for clicks within the last X minutes/hours/days; alternatively, you can use the calendar icon to specify click dates between X and Y.

  • Device Type: Let’s assume that you need to group recipients based on whether they open your campaigns through their mobile phone, their desktops, or another type of device. Choose the condition Device Type from the first drop-down menu, select whether this is/is not, and then, from the third drop-down field, select one of the following: Mobile /Desktop /Other/(Other- Click to type). Selecting the Other-Click to type option allows you to type in the kind of device you are searching for.

  • Operating System: You can filter users based on the operating system they are using. To do that choose the condition Operating System from the first drop-down menu, and in the second drop-down menu specify whether the OS is / is not / contains / does not contain / starts with / does not start with / ends with / does not end with. Using either is or is not on the second field means you'll have a list of operating systems in the drop-down list for you to choose from. Any other option means you'll need to fill in the third field with the characteristics you're looking for.

  • Email Client: Choosing Email Client means you narrow down the users according to the Email Client they are using to open your campaigns. Select the condition Email Client from the first drop-down menu, Choose whether the email client is / is not / contains / does not contain / starts with / does not start with / ends with / does not end with in the second drop-down menu,and type the relevant characteristics in the next field. When using is or is not, the last field will contain all possible clients to choose from, with the most popular choices at the top. For any other option, the last field needs to filled with the characteristics you're looking for.

  • Web Browser: Similar to the above choices, with Web Browser you'll be filtering recipients according to the web browser they are using. Choose the condition Web Browser from the first drop-down menu, then in the second drop-down menu select whether the web browser is / is not / contains / does not contain / starts with / does not start with / ends with / does not end withIs or is not means you'll have a drop-down of all available browsers as a final field. Any other options mean you need to fill-in the final field with the characteristics you're looking for.

  • Mobile Browser: You can filter your recipients based on the Mobile Browser they use to interact with your newsletters. Choose the condition Mobile Browser from the first drop-down menu, then choose whether the mobile browser is / is not / contains / does not contain /  starts with / does not start with / ends with / does not end with in the second drop-down menu. As before, choosing that the browser either is or is not leads to a drop-down field with all the possible options. Any other option requires that you fill in the details.

  • Added a Product To Cart: This option can be used to filter your contacts based on whether they have added a product to their cart. Select the condition Added a Product to Cart from the first drop-down menu. The second drop-down menu lets you choose whether this is true / is false. In the third drop-down menu you can search for addition of a specific product by selecting one of the available product codes; otherwise, you can type in a product code. If you are filtering for the addition of ANY product, you can leave this field blank. You can also define a time span by clicking on the clock icon to specify that it must have been added in the last X amount of minutes /hours / days, or clicking on the calendar icon to specify that it needs to have been added between two dates that you select.

    The next drop-down menu allows you to specify which website your contacts were using when they added a product to a cart. Finally, the last field allows you to specify the number of times users added a specific product to a cart. Please note that this counts the addition of the product to different carts and not the addition of the product to the same cart multiple times.

  • Viewed a Product: Used in order to filter your contacts based on whether they have viewed a product. Select the condition Viewed a Product from the first drop-down menu. The second drop-down menu lets you choose whether this is true / is false. You can select a product code in the third drop-down menu; alternatively, you can type in a product code.If you are filtering for the viewing of ANY product, you can leave this field blank.You can also define a time span by using the clock icon to specify that the viewing must have taken place in the last X amount of minutes / hours / days, or using the calendar icon to specify that it must have taken place between two dates that you select.

The next drop-down menu allows you to specify the website on which your contacts viewed the product, and you can further specify the minimum number of times said product needs to have been viewed.

  • Purchased a product: This option enables you to filter your contacts based on whether they have purchased a product. Select the condition Purchased a Product from the first drop-down menu. The second drop-down menu lets you choose whether it is true / is false that a product purchase was made. In the third drop-down menu you can select a product code from the drop-down options; otherwise, you can type in a product code. If you are filtering for the purchase of ANY product, you can leave this field blank. You can also define a time span by using the clock icon to specify that the product must have been purchased within the last X minutes / hours / days, or using the calendar icon to specify that it must have been purchased between two dates that you select.

Furthermore, there is an option where you can specify the website wherein the purchase was made and can also, if you wish, specify a minimum number of times that your contact needs to have purchased the product added on the above field.

  • Custom Fields: All your Custom Fields are also available to choose from as filtering options! Any information you have deemed useful to keep about your contacts (their location, their gender, their age etc) can help you narrow down your segmentation so that it's as focused as you want it to be. Choose the condition Custom Fields from the first drop-down menu. The second drop-down menu's options change depending on the whether the data type of the custom field is Text, Number, Date Time, Single Select Drop Down or Check box. Similarly the final field accommodates the custom field's data type by requiring that you either type in a value or a word, or that you select a date etc.

Don't just limit yourself to just one of the above options: by Adding More Criteria, you can narrow your target audience and be as specific as you want. Experiment! 

Check the number of the recipients contained in a segment with every criterion you add. You can always preview or export the segment to an Excel file, or just save it for later use. You're in charge.
